When you register and use the Expatriate Profile & Document Management Portal, we collect information you provide directly, including your name, email address, mobile number, country, present/permanent address, passport/ID details, employment information, payment records, and the documents you upload (passport, iqama/national ID, visa, work permit, etc.).
2. How We Use Your Information
We use your information to:
- Create and manage your account
- Process your registration fee payment
- Verify the documents you upload
- Send you in-app notifications (e.g. verification results, document expiry reminders)
- Maintain the security and integrity of the Portal
3. Document Security — Encryption at Rest
All documents you upload are encrypted at rest using industry-standard AES-256 encryption before being stored. Files are decrypted only momentarily and on-demand when you or an authorized administrator need to view or verify them — they are never stored or transmitted in plain, unencrypted form.
Note: this is encryption at rest, not end-to-end encryption — our administrators are able to decrypt and view documents strictly for the purpose of verification, as is necessary for the service to function.
4. Who Can Access Your Data
Your profile and documents are visible only to you and to authorized administrators performing verification and support duties. We do not sell your personal information to third parties.
5. Data Retention
We retain your account information and documents for as long as your account remains active, or as required to comply with legal obligations, resolve disputes, and enforce our agreements.
6. Your Rights
You may review and update your profile information at any time from your dashboard, and may replace or delete documents you have uploaded. To request full account deletion, please contact us via the Contact Us page.
7. Changes to This Policy
We may update this Privacy Policy periodically. Material changes will be reflected by updating the "Last updated" date at the top of this page.
